ULS saves time and money!
Thanks to Ken and his ever on-going programming for our benefit, ULS has gone paperless with time sheets, saving time and money!
Our old method: Twice a month every employee printed a time sheet. Because of the time keeping requirements we are required to live by, some time sheets are 50 or more pages in length. Those time sheets were signed and passed to supervisors. Supervisors reviewed the time sheets and signed off on them again. The physical time sheets were then either mailed or hand-delivered to the Salt Lake office from all over the state. Finally they were sorted by employee, put in alphabetical order and stored away in file cabinets in case some auditor in the future wants to brush off the dust and take a look.
Our new method: Twice a month every employee clicks a button in the timekeeping software saying their time sheet in final. The system automatically e-mails a pdf version of the time sheet to that employee's supervisor. The supervisor reviews the time sheet on the screen and using a handy bit of software can add notes or comments as needed. The supervisor then saves it to a directory on the network, which signifies their acceptance. If an auditor ever needs to review the information, it's only a click or two away.
This new method will save us a lot of money in paper (an average of 15 pages each, for 46 employees, for 24 pay periods a year is nearly 17,000 sheets of paper) and printing, and perhaps more importantly a lot of time in passing the paper around and filing it away. And we have so many better things to do with our time and money! Thanks again to Ken for this prime example of how a bit of technology can free us up to do more for our clients.
